What this job involves
The Assistant Facilities Manager (AFM) supports the Senior Facilities Manager in the daily management and coordination of facility operations, maintenance programs, and building initiatives. This role is responsible for overseeing building services, coordinating vendors and contractors, managing work orders and maintenance activities, and ensuring facilities operate safely, efficiently, and in compliance with company and regulatory standards.
The AFM serves as a key liaison between the Senior Facilities Manager, clients, occupants, vendors, contractors, and internal teams to ensure the successful execution of facility management objectives. The role also assists with budgeting, reporting, preventive maintenance, capital and operational projects, space management, and customer service initiatives while promoting a positive occupant experience and maintaining high levels of operational performance.
This position requires strong organizational, communication, and problem-solving skills, along with the ability to manage multiple priorities, build effective relationships, and support continuous improvement across all aspects of facility management.
What your day-to-day will look like
- Manages the daily operations of commercial facilities, ensuring building systems, maintenance activities, and occupant services meet operational and safety standards.
- Coordinates preventive and corrective maintenance for HVAC, electrical, plumbing, fire/life safety, and building automation systems through third-party vendors and contractors.
- Requests proposals, schedules inspections, and oversees all maintenance and repairs with onsite vendors and contractors while ensuring quality customer service.
- Assists Senior Facilities Manager with annual operating budget development, management, and review of repair/maintenance proposals in accordance with JLL and client procurement policies.
- Manages work orders in CMMS platforms from initiation through completion, ensuring timely resolution, accurate documentation, and performance reporting.
- Conducts routine facility inspections and property walkthroughs to identify maintenance needs, safety concerns, and opportunities for operational improvements.
- Creates and edits monthly reports for work orders, budgets, initiatives, and projects.
- Serves as the primary point of contact for occupants, vendors, and service providers, resolving facility-related issues and delivering exceptional customer service.
- Trains and supports vendors and facility personnel on operational procedures, safety protocols, and client service expectations.
- Collaborates with cross-functional teams, including Security, IT, Environmental Health & Safety (EHS), and Property Management, to ensure efficient facility operations.
Required Qualifications
- High School Diploma or equivalent with valid driver's license required.
- Minimum 3+ years of proven facilities management experience managing hard and soft services as a 3rd party provider.
- Working knowledge of facility systems including HVAC, electrical, plumbing, fire/life safety systems, BMS, and water treatment
- Computer proficiency with MS Office Suite (Excel, Word, PowerPoint, Outlook), Tableau, CMMS, and SharePoint
- Strong leadership and interpersonal skills to effectively collaborate with associates, clients, and vendors while delivering exceptional customer service.
- Knowledge of financial and accounting principles as applied to commercial property management.
- Ability to comprehend and interpret instructions, correspondence, and technical documents, and respond professionally to inquiries and complaints from clients, co-workers, vendors, contractors, and supervision.
