Position Overview

We are seeking a highly organized and proactive Project Administrator to support the planning, coordination, execution, and oversight of multiple technical projects. This role serves as a central coordination point across project managers, technical teams, business stakeholders, and leadership to ensure work remains organized, risks and dependencies are actively managed, and commitments are completed on schedule.

The Project Administrator will help translate project requirements into actionable work, maintain schedules and project documentation, facilitate Agile ceremonies, track progress, coordinate dependencies, manage risks and issues, and develop clear status reporting for both project teams and executive leadership.

Key Responsibilities

  • Develop, maintain, and manage integrated project schedules using Microsoft Project, Jira, SharePoint, and other project management tools.
  • Work with project managers and technical leads to define activities, milestones, dependencies, deliverables, and target dates.
  • Track actual progress against project plans and identify schedule impacts, resource conflicts, and potential delays.
  • Coordinate activities across multiple technical and business workstreams.
  • Develop and maintain project plans, milestone schedules, action trackers, and supporting documentation.
  • Collect project status and consolidate information into weekly, monthly, and executive-level reports.
  • Track milestones, accomplishments, upcoming activities, risks, issues, actions, decisions, and dependencies.
  • Develop dashboards and reporting mechanisms that provide leadership with visibility into project health and performance.
  • Establish and maintain RAID logs, decision logs, action trackers, and dependency registers.
  • Facilitate risk identification and work with responsible owners to develop and track mitigation and contingency actions.
  • Escalate critical risks, issues, decisions, and dependencies requiring management attention.
  • Facilitate sprint planning, daily stand-ups, backlog refinement, sprint reviews, retrospectives, and other Agile ceremonies.
  • Track epics, features, user stories, tasks, defects, blockers, and dependencies in Jira.
  • Monitor sprint progress, commitments, and impediments and support teams in resolving or escalating delivery issues.
  • Coordinate the development, review, approval, and submission of project documentation and contractual deliverables.
  • Develop or contribute to schedules, status reports, requirements documents, briefings, presentations, risk reports, decision papers, and other project artifacts.
  • Review deliverables for completeness, consistency, accuracy, and compliance with established standards.
  • Schedule and facilitate project meetings, working sessions, technical discussions, and stakeholder reviews.
  • Develop meeting agendas, capture decisions and meeting minutes, and track action items through closure.
  • Serve as a coordination point across project managers, engineers, architects, developers, analysts, business stakeholders, and leadership.
  • Proactively follow up with team members to ensure commitments, risks, actions, and deliverables remain on track.

Required Qualifications

  • Bachelor’s degree in Business Administration, Information Technology, Project Management, Engineering, or a related field, or equivalent professional experience.
  • 8 years of experience supporting project management, program management, Agile delivery, business analysis, or technical project coordination.
  • Experience developing and maintaining project schedules, milestones, dependencies, and delivery plans.
  • Experience identifying, documenting, tracking, and mitigating project risks and issues.
  • Experience facilitating project meetings and Agile/Scrum ceremonies.
  • Experience gathering and documenting business and technical requirements.
  • Strong experience developing project documentation, status reports, presentations, dashboards, and management briefings.
  • Experience using Jira, SharePoint, and Microsoft Project.
  • Ability to manage multiple projects, priorities, deadlines, and stakeholders simultaneously.
  • Strong organizational, analytical, problem-solving, facilitation, and written communication skills.
  • Ability to communicate effectively with both technical and non-technical stakeholders.

Preferred Qualifications

  • Experience supporting IT modernization, cloud, infrastructure, cybersecurity, software development, data, or enterprise architecture projects.
  • Experience supporting Federal Government programs or government contracting environments.
  • Experience maintaining governance artifacts including RAID logs, decision logs, change requests, requirements traceability, and deliverable trackers.
  • Experience developing executive dashboards and presenting project status to senior leadership.
  • Familiarity with Agile, Scrum, SAFe, and traditional project management methodologies.
  • PMP, CAPM, Certified ScrumMaster (CSM), PMI-ACP, SAFe, or similar certifications are preferred.
