At Qantas, we represent Australia to the world. Our diverse country is known for its unique spirit, mateship, and a can-do attitude. Together we’re strong and resilient, and we work hard to make sure we’re always at our best.
The AI Governance & Portfolio Specialist sits within our Data Protection & AI Governance team, reporting to the Senior Manager, Data Protection & AI Governance.
You’ll keep the Group’s AI governance process running
maintaining the AI registers and publishing them on the AI Hub, coordinating the AI Governance Council, making sure every AI use case progresses through governance, and helping build our AI incident reporting process.
You’ll also work closely with the Head of AI on the AI use case portfolio. That means triaging Citizen Developer Tier classification queries against the governance framework, preparing first drafts of governance artefacts and platform usage and spend reporting, and supporting the day-to-day delivery of our AI capability training program. Ambiguous, high-risk or novel judgement calls are escalated to the Head of AI, so you’ll have experienced support behind you while you keep things moving.
What you’ll be doing
- Maintaining the Qantas and Group AI use case registers, as well as the approved models and approved connectors registers, and keeping them current on the AI Hub
- Managing what comes to the AI Governance Council, preparing materials, coordinating sessions, recording decisions and tracking actions through to close
- Making sure all AI use cases progress through the AI governance process, and helping build the AI incident reporting process
- Maintaining the skills, SOPs, templates and Citizen Developer self-assessment tools used across the governance program
- Triaging AI use cases against the Citizen Developer Tier classification and governance framework, and identifying value levers with the Head of AI and Finance to estimate benefits
- Administering the Claude platform (licences, access requests, provisioning and ServiceNow queue management) and producing spend, finance and usage reporting
- Building automation and admin tooling, such as API integrations, reporting tools and export processes, and supporting feature reviews and vendor management
- Coordinating the AI capability training program, including scheduling, the AI Tools enquiries inbox, user enablement and reporting on training progress
- Educating and supporting business stakeholders on AI governance requirements and processes
What you will bring
- 8+ years’ experience in governance, risk, PMO or portfolio coordination roles in a large, complex organisation
- Tertiary qualification (or equivalent experience) in a relevant discipline such as risk, information management, business or technology
- Proven experience running a governance forum or committee secretariat. That includes setting agendas, preparing decision-ready papers, recording decisions and tracking actions through to close
- A track record of maintaining registers, inventories or portfolios with a high degree of accuracy, and keeping them current as things change
- Hands-on familiarity with enterprise AI platforms (e.g. Claude, Copilot, Gemini) and an understanding of how risk, data and governance considerations differ across them
- Confidence applying a governance or classification framework to triage requests, and knowing when to escalate ambiguous, high-risk or novel matters
- Experience producing usage, spend or performance reporting, ideally with exposure to platform administration, licensing or service request queues (e.g. ServiceNow)
- Ability to turn a brief or template into clear, executive-ready first drafts with minimal direction
- Strong stakeholder management skills, with the ability to explain governance requirements in plain language and guide business teams through the process
